These six choices teach the system how Villa Elena works.
Roles and teams
Roles tell the system who should handle each job. Villa Elena’s six roles are already loaded and ready: you do not need to recreate them. Each template has a default role, which an individual rule can change when needed.
Here, you can simply identify them.
Assets and locations
An asset is something whose work, maintenance and costs you want to track over time. It can be a system, a piece of equipment or a location. When you link operations to an asset, its record builds an organised history.

Suppliers
Keep the details of external people who provide services here. A name, contact and type are enough to find them when an operation needs them. The supplier remains separate from the internal team.

Templates with checklists
A template is a reusable starting point: it sets the title, priority, team and checklist. Placeholders automatically take the name and dates from the booking. An item can appear only for a wedding or only when a service is included.

Rules
A rule links a moment to a template: an event, an included service or the calendar. For bookings, you can choose confirmation, check-in or check-out and move the deadline by a few days. The system creates only one operation for each rule and booking.

ClickUp
ClickUp is an optional bridge to the staff’s phones. To use it, turn on the switch and select the destination list; the connection key remains protected in the real system’s settings. When it is off, everything continues to work in the management system.
